COMMITTEES

The Alumni Club of Chicago Board Directors are the regional volunteer leadership of the University of Chicago Alumni Association and accomplishes its work through several committees, many of which are open to all UChicago alumni. Learn how you can get involved by contacting the committee chair.

EXECUTIVE COMMITTEE

 communication COMMITTEE

The communication committee is led by the communication chair and is responsible for publicizing club events, maintaining the club’s website and social media presence, and disseminating club communications and news. Positions within this committee may include the following:

COMMUNICATIONS CHAIR

  • Model the behavior expected of members
  • Recruit and lead committee
  • Plan the work of the committee in accordance with your committee's specific tasks
  • Plan and host committee meetings (Recommend minimum of 5 meetings between each regular board meeting)
  • Be in contact with committee members on an ongoing basis in between meetings
  • Report out on committee work
  • Serve as an administrator for club’s UCCO platform and remain up to date with UCCO training
  • Any additional responsibility specific to your role

All Committee Members

  • Ensure that all club communications are clear, consistent, and timely, and are written with a tone befitting the UChicago alumni community.
  • Oversee marketing and communications for all club programming, identifying and executing communications plans tailored to maximize participation at each event
  • Participate in the Alumni Association’s UChicago Social Ambassador Program.

Committee Roles

  • Social Media Manager
    • Maintain club’s social media platforms on Facebook, Twitter and Instagram
  • Newsletter Editor; Produce UCCO newsletter
    • Serve as an administrator for the club UCCO site and remain up to date with UCCO training
    • Research, write, and edit content for bimonthly club newsletter that highlights relevant alumni club programming
    • Establish a schedule for consistently deploying a newsletter
  • Webmaster for UCCO site
    • Serve as an administrator for the club UCCO site and remain up to date with UCCO training
    • Solicit information and write and edit content for the website
    • Maintain the following UCCO pages:
      • Featured volunteers
      • Event photos/photo albums
      • Leadership

governance COMMITTEE

The governance committee is responsible for conducting a formal review of the club’s/group’s bylaws and oversees the election process for board members. This committee is cochaired by the nominating chair and the bylaws chair.


BY-lAWS CHAIR

  • Model the behavior expected of members
  • Supervise the review of the club’s/group’s bylaws in response to any changes proposed by board members
  • Update the bylaws and file copies with the Alumni Association staff liaison
  • Oversee Governance Commitee if nominating chair position is vacant
  • Any additional responsibility specific to your role

NOMINATION CHAIR

  • Model the behavior expected of members
  • Recruit and lead governance committee
  • Plan the work of the committee in accordance with your committee's specific tasks
  • Plan and host committee meetings (Recommend minimum of 5 meetings between each regular board meeting)
  • Be in contact with committee members on an ongoing basis in between meetings
  • Report out on committee work
  • Serve as an administrator for the club UCCO site and remain up to date with UCCO training
  • Work with staff liason to set up applications, determine a deadline and outreach strategy to alumni community
  • Convene, set agenda, and preside over nomination meeting
  • Any additional responsibility specific to your role

Governance Committee

  • Seek candidates for election to the board by soliciting nominations
  • Provide a candidate-information form to each interested party
  • Attend nomination meeting
  • Propose a slate of board member candidates including president, vice president(s), secretary, and new board directors at the appropriate board meeting

membership COMMITTEE

The membership committee is responsible for ensuring the overall integrity of Board Membership, by establishing objective criteria for on-going Board participation. In addition, the committee is also responsible for evaluating on-going Board Director engagement and recommending removal or denial of renomination for continued Board participation should the facts and circumstances so warrant.

Membership Committe

  • Coordinates new directors on-boarding with the Governance Committee
  • Ensures directors understand their participation expectations
  • Spearheads the on-going review of directors for progress in satisfying participation expectations and reporting out at meetings
  • Coordinates outreach to those directors deficient in their participation
  • Reports recommendations on directors retention/removal based on application of membership criteria
  • Work with staff liaison to facilitate exit interviews with outgoing directors

program COMMITTEE

The program committee is led by the program chair (or multiple program cochairs) and plans programs and events that provide intellectual engagement, philanthropic opportunities, and social or professional connections that appeal to the broad diversity of the UChicago community.
 

PROGRAM CHAIR

  • Model the behavior expected of members
  • Recruit and lead committee
  • Plan the work of the committee in accordance with your committee's specific charge.
  • Plan and host committee meetings (Recommend minimum of 5 meetings between each regular board meeting)
  • Be in contact with committee members on an ongoing basis in between meetings.
  • Report out on committee work
  • Oversee planning, implementation, and logistics for all club programming, delegating tasks to other volunteers and requesting support from other board directors
  • Monitor and assess existing programs to determine feasibility, quality, and return on investment
  • Serve as an administrator for club’s UCCO platform and remain up to date with UCCO training
  • Manage UChicago Community Online (UCCO) event pages
    • Review, edit, publish and create store tickets for submitted club programs
  • Any additional responsibility specific to your role

Committee Members

  • Ensure that club programming is diverse and thoughtful, appealing to a wide array of alumni, parents, families, and friends
  • Ensure appropriate marketing and outreach for all events in consultation with the communications chair
  • Assist the program chair with planning, implementation, and logistics for all club/group programming, taking charge of at least one event per year
  • Encourage attendance at all programs, assisting in outreach and marketing to personal and professional networks
  • Serve as the administrator for club’s UCCO platform and remain up to date with UCCO training
